Terms of Service

These terms govern a clinic's use of Better Clinic Booking's online booking, patient recall, and cancellation-refill software. By using the service, a clinic agrees to these terms. A patient booking through a clinic's page agrees to them by completing a booking.
What the service does
Better Clinic Booking connects to a clinic's own practice-management calendar and lets patients book, reschedule, and check appointments online; runs an SMS cancellation-waitlist so a freed slot can be refilled automatically; and runs opt-in patient recall campaigns for lapsed patients. The clinic's own calendar stays the system of record — our service reads from it and writes to it on the clinic's behalf, and never replaces it.
Clinic responsibilities
- Keep the practice-management connection, staff logins, and any uploaded patient list accurate and lawfully obtained.
- Have the right, under applicable privacy and health-information law, to share the patient data it uploads or connects.
- Set its own cancellation and no-show policy — we display whatever policy the clinic configures.
- Tell us promptly if a staff account is compromised or a patient revokes consent to be contacted.
Our responsibilities
- Run the booking, reminder, recall, and cancellation-refill service as configured for the clinic.
- Keep patient and clinic data confidential and use it only as described in our Privacy Policy.
- Honor every opt-out (STOP) instantly and never message a patient who has revoked consent.
- Never write to a clinic's calendar in "live" mode until that clinic has explicitly turned live writes on.
Fees
Pricing is set out on a clinic's own plan, quoted before that clinic goes live. Fees are billed monthly and are not prorated for partial months unless we agree otherwise in writing.
No warranty
The service is provided "as is." We do not guarantee it will be uninterrupted or error-free, and we are not liable for a missed appointment, a delayed text message, or a carrier outage outside our control — see our SMS Terms for the specific carrier-liability disclosure.
Ending the relationship
Either party can end a clinic's subscription with notice as set out on that clinic's plan. On termination, we return or delete the clinic's data on request, consistent with our Privacy Policy.
Governing law
These terms are governed by the laws of the Province of Ontario, Canada, without regard to conflict-of-law rules, regardless of the clinic's own location.
